Change and Instructions Re Export of Animals
Dear IAS Animal Users:
Effective Tuesday, December 7, 2021, IAS will be dedicating one day a week to handling of exports to outside institutions. To streamline the export process, all transactions will be conducted on Tuesdays.
All emails received prior to Monday of the same week will be addressed in the order that they were received on Tuesday. In addition, all shipments will be handled on Tuesday mornings.
The IAS “Transfer of Animals to Another Institution” request form is to be used to arrange ALL shipments of rodents from AECOM to collaborative institutions. This form is available on the AECOM IAS website and enclosed .
The “shipping” AECOM investigator must complete the form when the approval of aMaterials Transfer Agreement (MTA) is approved.
It is imperative that the request form is completed in its entirety.
“Recipient Information” is needed so the coordinator and/or veterinarian can discuss the details of the shipment with the recipient institution. The shipping investigator is responsible for completing the required recipient contact and facility information.
The “Animal Information” data describes the specific mice to be shipped. This is very important for estimating the number of crates required when making shipping arrangements with the courier. *It is the investigator’s responsibility to promptly notify the IAS “Coordinator” of any changes in this animal data.
Please note that changes made after the confirmation of a shipping date can potentially delay the shipment and incur further costs.
Send the completed request form by email attachment to the IAS coordinator/contact, Maritza I Arce maritza.arce@einsteinmed.edu
You should propose a shipping date at the time you submit the completed request form.
All sections must be completed upon submission to avoid delays in processing. Incomplete forms will be returned to the sender and processed in the next review cycle. After the completed request form is received by the designated IAS coordinator, all of the information is checked for completeness.
The time from the submission of the completed request form until the actual shipping date will vary depending on a number of factors outside of our control:
- prescheduled health monitoring of the colony, that the recipient veterinarian will prefer to wait to review before approving shipment
- additional non-routine health monitoring tests required by the collaborating institution.
- any receiving institutions require that the receiving investigator submit a request form before they will approve a shipment.
- The receiving institution may have a “wait list” for entrance to quarantine.
- Weather extremes in summer or winter, bad storms, or fog will delay the shipment. Most shippers will not accept live animals when the temperature is below 45 degrees F or above 85 degrees F.
Please understand that we are trying to provide more efficient service during severe staffing restrictions.
We appreciate your understanding out current situation.
Sincerely,
IAS Vet Med
