Off Campus Elective Registration
Away Rotations:
For students looking to apply for an elective as a visiting student, we recommend that you review each program’s website well in advance of your planned participation as each school has specific application processes and deadlines.
All external electives MUST be four weeks in duration; electives less than four weeks must be approved by the Deans for Students.
Required Documents for Registration:
Final approval of external electives will be granted only when completed forms have been submitted.
Final registration of an external elective will be completed once the student provides an official acceptance notification from the Host Medical School to the Office of the Registrar.
Please submit the following:
- The Personalized Career Plan for External Elective Form for EACH elective you are applying for
- Elective Course descriptions for each elective
- Host Schools Paper Application
- Other required supporting documentation that the Office of the Registrar does not have on file (i.e. Immunization Records, Step Score Report, Personal Statement, etc.)
VSLO:
Students will receive a message from the AAMC Visiting Student Learning Opportunities (VSLO) regarding login and password instructions. We recommend that you frequently view the VSLO website for step-by-step online tutorials and other helpful resources such as the Student Handout, Quick Start Guide, Document Upload Guide, and a PowerPoint presentation of the Student Software.
Once you have completed your profile and submitted a VSLO online application, the Registrar’s Office will be notified that a pending VSLO application needs to be verified and/or released. Once the Registrar’s Office receives the required documents for approval, your transcript will be uploaded, your information will be verified, and your application will be released to the Host School. The Host School will notify you via email of their decision.
In addition to submitting the VSLO online application, students will need to submit the following documents to the Registrar’s Office BEFORE verifying and releasing the application to the Host School:
- The Personalized Career Plan for External Elective Form for EACH elective you are applying for
- Elective Course descriptions for each elective
If accepted to an away elective, you must send your acceptance email for EACH elective in order to receive credit and to maintain your enrollment status at Einstein while attending your external elective.
Evalution
It is the student’s responsibility to ensure that the External Elective Clinical Grade Evaluation Form is submitted to the Office of Registrar for each elective completed off-campus within 4 weeks of completion.
We understand that scheduling electives can be overwhelming at times and the key is planning well in advance. Paper Applications
Some Host Schools do not participate in the VSLO application system and require students to submit a paper application or have their own online application system. Typically, paper applications require additional supporting documents, official school signatures, and a school seal of approval.
Students will need to obtain approval from the Office of the Registrar and the Office of Student Affairs BEFORE the paper application is sent to the Host School. The Registrar's Office can mail out your application packet for you or can contact you once it is completed and ready to be picked up.
Please be aware that most Host Schools require their own Health/Immunization form to be completed. You will need to have Occupational Health (located at 219H Block Building) or your personal physician complete the health form. Occupational Health is able to provide your Immunization records only to you, as that is private and confidential information.
Some Host Schools may require a criminal background check, some may require that they be completed within the past 12 months, or some schools may require specialized background checks based on the type of elective you are applying for. Please contact the Registrar’s Office for assistance.
