New Postdocs: Getting Started

We're thrilled to welcome you to the vibrant research community at Einstein! We understand that starting a new position, especially in a new city, can be overwhelming. Below we've compiled some essential information for you to help you navigate the process. 

Before your Arrival

Pre-Employment Onboarding: 

  • You will be required to complete the onboarding process which includes education and employment verification, an independently conducted criminal background investigation, drug screening and authorization to work pursuant to the Immigration Reform and Control Act of 1986 ("IRCA").

Visa Information (if applicable):

  • Contact the Office of International Services (OIS)OIS is dedicated to supporting international postdocs. They'll guide you towards the best visa type and assist you throughout the visa process, answer your questions, and liaise with the Immigration and Naturalization Service (INS) and the U.S. Department of State. 
  • Documentation is key: Start gathering necessary documents early, as processing times can vary. This includes personal documents, academic transcripts, degree verification, and any other required forms.

Housing:

  • Postdoctoral Housing: If you are interested in residing in Einstein postdoctoral housing, it is advisable to have your departmental administrator submit the housing application to the Belfer Institute to be placed on the waiting list. Postdoctoral fellows are allowed to occupy postdoctoral housing for a maximum of three (3) years, as described in the Housing Policies and Procedures.
  • Temporary Housing: The Belfer Institute maintains a small number of shared temporary apartments. Contact the Belfer Institute belferinsitute@einsteinmed.edu for information. Temporary housing accommodation is not guaranteed and is based on availability. 
  • Alternative accommodations: If postdoc housing and temporary housing are not available to you at the time of your arrival, consider residing elsewhere. Explore nearby neighborhoods and consider online resources for finding suitable housing.

Preparing for New York City:

  • Get ready for New York's distinct seasons! Winters are chilly, so pack a warm coat, gloves, a scarf, and sturdy shoes. Summers are hot and humid, so breathable clothing is best. Pack accordingly.
  • Receiving your first paycheck can take between 4 - 6 weeks. Estimate realistic costs for food, housing, and basic needs during this period. 

Additional Tips:

  • Einstein fosters a collaborative environment. Reach out to your lab mates – they're your future colleagues and friends!
  • New York has something for everyone! Take time to explore museums, parks, restaurants, and other cultural attractions.

Upon Your Arrival

Airport Arrival (if applicable):

  • Coordinate with your principal investigator (PI): Confirm with your PI if someone will be picking you up at the airport. Provide your flight details (airline, flight number, arrival time, and airport) so they can plan accordingly. 
  • If no pickup is arranged, plan to take a yellow taxi (cab) or ride share service for reliable transportation to your housing accommodations. Prices may vary depending on where your lodging is located.

Pre-Employment Requirements: 

  • Health exam: To ensure everyone's well-being, all new employees, students, and volunteers at Einstein require a pre-employment physical exam. This includes a physical exam, blood tests, and communicable disease testing. This process can take up to approximately two weeks.
    • If you haven't already, contact your departmental administrator and ensure that an appointment has been made for you to complete these requirements prior to your scheduled start date.
    • For any questions, call the Einstein Occupational Health service at (718) 430-3141.
  • Visa holders: If you're a visa holder, contact the Office of International Services (OIS. They'll guide you through obtaining a Social Security card, essential for your first paycheck and bank account setup.

Connecting with the Postdoc Community:

  • The Belfer Institute (Postdoc Office): The Belfer Institute offers newsletters, workshops, seminars, and social events to help you connect with fellow postdocs, explore career options, and navigate the academic landscape at Einstein. 
  • The Einstein Postdoctoral Association (EPA): The EPA is a vital community of postdocs dedicated to supporting your academic and professional development.
